What Is Managed Visitor Management?

Managed visitor management replaces paper sign-in sheets and front-desk staff with a cloud-based platform that handles visitor check-in via tablet kiosk or QR code. Visitors enter their info, snap a photo, sign an NDA if required, and the host gets notified instantly through Slack, Teams, SMS, or email. WCC administers the platform on your behalf — managing the host directory, tuning NDAs and safety briefings, screening visitors against watchlists, and integrating with your access control for automatic temporary credentials. Best practices for visitor management programs are documented by ASIS International.

  • Tablet kiosk or QR code check-in
  • Photo capture and ID scanning
  • NDA and safety briefing capture
  • Host notifications via Slack, Teams, SMS, email
  • Watchlist screening against banned visitors
  • Temporary access credential auto-issuance
Platform Options

Four Cloud Visitor Management Platforms WCC Supports

Platform choice depends on existing infrastructure and how tightly visitor management needs to integrate with access control or video. WCC walks through tradeoffs during the audit and recommends based on your stack — not vendor margin.

Envoy

Pure-Play Visitor

The market-leading dedicated visitor management platform. Broadest integration library, mature multi-tenant building support, and the deepest workflow customization in the category.

Verkada Guest

Unified Access + Video

Visitor management on the same dashboard as Verkada access and cameras. Best for organizations already on Verkada wanting unified administration and tight temporary credential workflows.

Brivo Visitor

Access Integration

Visitor management integrated with Brivo cloud access control. Best for organizations already on Brivo and wanting visitor credentials issued through the same platform.

Rhombus Visitor

Unified Access + Video

Cloud visitor management on the Rhombus unified platform. Best for mid-market organizations valuing simplicity, modern UX, and one dashboard for doors, cameras, and visitors.

Capabilities

What WCC Manages on Visitor Management

Managed visitor management is more than a software subscription. The value comes from someone running it day-to-day — keeping the host directory accurate, NDAs current, and workflows tuned as your business changes.

Tablet Kiosk Configuration

Custom-branded sign-in kiosk on iPad or Android tablet at each location. WCC handles initial setup, ongoing branding updates, and workflow tuning. Mobile QR check-in available for visitors who pre-register.

  • Branded sign-in flows
  • Per-location workflows
  • QR code pre-registration

Host Directory Management

WCC keeps the employee host directory current. New hires added, terminated employees removed, departments restructured — we handle it. Optional: HR system integration for automatic sync.

  • Add/remove host employees
  • Department and role mapping
  • HR integration (optional)

NDA & Safety Briefings

Custom NDAs, safety briefings, and visitor agreements captured during sign-in. Different documents per visitor type (vendor, interview, delivery). Signed records retained for audit per your retention policy.

  • Per-visitor-type documents
  • Electronic signature capture
  • Audit-grade record retention

Host Notifications

When a visitor checks in, the host gets notified instantly through their preferred channel — Slack DM, Microsoft Teams message, SMS, or email. Multi-channel fallback ensures the host always sees the notification.

  • Slack and Teams integration
  • SMS and email fallback
  • Multi-channel retries

Watchlist Screening

Visitor records checked against internal watchlists (terminated employees, banned visitors, former contractors) at check-in. Premium tiers add OFAC and regulatory watchlist screening for compliance-sensitive industries.

  • Internal banned-visitor lists
  • OFAC screening (Premium)
  • Instant alert on hit

Temporary Credential Issuance

When integrated with hosted access control, checked-in visitors automatically receive a temporary mobile credential for specific doors during their visit window. Credential expires automatically at sign-out.

  • Mobile credential auto-issuance
  • Time-bound access windows
  • Auto-revoke at sign-out

What's Not Included in Managed Visitor Management

Managed visitor management is a software and administration service. It is not a substitute for staffed reception or physical security. Here's what managed visitor management does not include.

Scope Limitations

Managed visitor management covers the cloud platform and WCC administration. Physical front-desk services and hardware repair are separate. Specifically:

  • Kiosk tablet hardware repair (separate maintenance contracts)
  • Badge printer maintenance and supplies (separate)
  • Manned front-desk reception services
  • Escort services for visitors inside the building
  • Mail and package handling at reception
  • Workplace investigations beyond the audit log the platform generates

1

Site & Platform Audit

Inventory visitor flows, expected volumes, and integration requirements. Recommend platform based on stack and operational fit.

2

Workflow Design

Build sign-in workflows, NDAs, safety briefings, and host directory. Define watchlist rules and access integration scope.

3

Kiosk Deployment

Install tablet kiosk hardware at each location. Configure branding, test workflows, train front-desk and admin staff.

4

Operate & Tune

Service goes live. First 30 days include intensive tuning of workflows, NDAs, and host notification routing.

Parent, vendor, and contractor sign-in workflows with watchlist screening against banned visitors and registered offender lists.

FAQ

Managed Visitor Management — Frequently Asked Questions

The questions facilities and IT leaders ask before signing a managed visitor management plan in Southern California.

What is managed visitor management?
Managed visitor management replaces paper sign-in sheets and front-desk staff with a cloud-based platform (Envoy, Verkada Guest, Brivo Visitor, or Rhombus Visitor) that handles visitor check-in via tablet kiosk or QR code. Visitors enter their info, snap a photo, sign an NDA if required, and the host gets notified by Slack, Teams, SMS, or email. WCC administers the platform, manages host directories, and tunes workflows on your behalf.
Which platform does WCC recommend?
Platform choice depends on your existing stack. Envoy is the most mature pure-play visitor management platform with the broadest integration library. Verkada Guest, Brivo Visitor, and Rhombus Visitor are tighter integrations if you already use those vendors for access control or video. WCC walks through tradeoffs during the site audit and recommends based on your existing investments — not based on which vendor pays the highest margin.
Can visitors get temporary access credentials?
Yes. When visitor management is integrated with hosted access control (Verkada, Brivo, Avigilon Alta, Rhombus), checked-in visitors can automatically receive a temporary mobile credential to access specific doors during their visit window. The credential expires automatically when they sign out or when the window closes. No badge printer, no front-desk credential issuance.
What about ID scanning and watchlist screening?
All four supported platforms include ID scanning (driver license, passport) with automatic photo capture. Visitor records are checked against internal watchlists (terminated employees, banned visitors, former contractors). Premium tiers add OFAC and other regulatory watchlist screening. Records are retained for audit purposes per your retention policy.
Does it work for multi-tenant buildings?
Yes. For multi-tenant office buildings, visitor management can route check-ins to the correct tenant host directory, deliver tenant-specific NDAs and safety briefings, and provide building-level reporting separate from tenant-level reporting. WCC has deployed multi-tenant visitor management at Class A office towers and mixed-use developments across Southern California.
What's NOT included in managed visitor management?
Managed visitor management covers the cloud platform and WCC administration. It does not include kiosk tablet hardware repair (separate maintenance contracts), badge printer maintenance, physical receptionist staffing, or escort services. We do not provide manned front desks. The service does not include workplace investigations beyond the audit log it generates.
What does this typically cost per month?
Managed visitor management is priced by location count, expected visitor volume, platform tier, and integration scope. Most single-site deployments are affordable for small offices; multi-site enterprise deployments scale up with visitor count and integration complexity. Most accounts see the cost paid back through reduced front-desk staff hours within the first year. Final pricing is set after a site audit.
Does WCC serve our area in Southern California?
WCC serves Los Angeles, Orange, San Bernardino, Riverside, San Diego, and Ventura counties from our Chino headquarters and Solana Beach branch. Managed visitor management is available across all six counties. Call 909-364-9906 to discuss your sites.
